Bank feed habits that halve your bookkeeping time
Whether you're in Xero, QuickBooks Online or MYOB, your bank feed is the engine room of your bookkeeping. A handful of small settings and habits can genuinely cut your bookkeeping time in half — here's where the hours hide.
Reconcile little and often
The single biggest time-waster we see is the three-month backlog. A transaction from last week takes seconds to code because you remember what it was. The same transaction from 90 days ago takes minutes of detective work — multiplied by hundreds of lines.
Ten minutes a week beats four hours a quarter, every time. Pick a fixed slot — Monday morning coffee, Friday knock-off — and clear the feed while it's still fresh.
Let bank rules do the repetitive work
Both Xero and QBO let you create bank rules that automatically code recurring transactions. Think about the things that never change: rent, insurance, software subscriptions, loan repayments, fuel suppliers. A rule can recognise the supplier and pre-fill the account code and GST treatment before you even open the reconciliation screen.
Start with your five most frequent recurring expenses. Review the suggestions rules make for the first few weeks, then let them run. Most businesses find a large share of their feed starts coding itself.
Capture receipts at the till, not at tax time
Receipts fade, get lost and pile up. Both Xero and QBO have mobile apps (and Hubdoc and Dext integrate well) that let you photograph a receipt on the spot and attach it to the transaction automatically.
The habit that makes it stick: snap the receipt before you leave the counter. It takes five seconds, and it means your BAS and your accountant's year-end questions are already answered.
Keep business and personal separate
Mixed accounts are the silent time thief. Every personal transaction through the business account is an extra line to identify, code to drawings, and explain. A dedicated business account and card — used only for business — removes that whole category of work.
Know when to hand it over
Good automation shrinks bookkeeping to a quick weekly check-in. If even that feels like too much, a bookkeeper can run the whole routine for you — rules tuned, feed reconciled, receipts chased — so all you see is a tidy set of numbers each month.
